Privacy policy

This policy explains which personal data ON AIR TOOL processes when you visit our website, create an account or use the platform — and which rights you have.

1. Who we are

ON AIR TOOL is the controller for the processing of personal data described in this policy. We are registered with the Dutch Chamber of Commerce (KVK) under number 55705790. Our VAT number is NL0022.53.149.B67.

This policy applies to onairtool.com, app.onairtool.com and related services we provide for broadcast stations.

2. Data we collect

The data we process depends on how you use ON AIR TOOL:

  • Account data: name, email address, password (stored hashed), station or organisation details, and role within the workspace.
  • Service data: content, schedules, listener interactions, website and app settings, and other information you enter into the platform.
  • Billing data: plan, invoices, payment status and, where needed, billing details. Card data is processed by our payment provider, not stored by us in full.
  • Support data: messages you send via the app, the contact form or WhatsApp, including metadata needed to handle your request.
  • Technical data: IP address, browser or device type, log files, approximate location derived from IP, and cookie or similar identifiers on the website.

3. Why we use your data

We process personal data only when we have a legal basis under the GDPR (AVG):

  • To perform the contract: creating and managing your account, delivering the platform, processing subscriptions and providing support.
  • Legitimate interest: securing the service, preventing abuse, improving reliability, and understanding how the marketing site is used.
  • Legal obligation: bookkeeping, tax and other statutory retention duties.
  • Consent: non-essential cookies or analytics on the website, where required. You can withdraw consent at any time.

4. Cookies and analytics

The marketing website uses cookies and similar technologies that are necessary for the site to work (for example language and theme).

Optional analytics and marketing cookies (via Google Tag Manager, when configured) are only set after you consent in the cookie banner. Details, retention and how to change your choice are in the cookie policy.

5. Sharing and processors

We do not sell personal data. We share data with trusted processors only where needed to run the service, for example hosting and infrastructure, email delivery, payment processing, error monitoring, and analytics. Those parties may process data only on our instructions.

If you contact us via WhatsApp, Meta processes that conversation according to WhatsApp’s own terms and privacy policy. We use the conversation to answer your question.

We may disclose data if required by law, or to protect the rights, security or integrity of ON AIR TOOL, our customers or others.

6. Retention

We keep personal data only as long as needed for the purposes above. Account and service data are kept while your workspace is active and for a limited period afterwards so you can restore access or we can close the account cleanly. Invoices and tax records are kept for the statutory period. Support messages are kept as long as needed to handle the request and for a reasonable follow-up period. Logs are rotated on a shorter cycle unless we need them for security investigations.

7. Your rights

If you are in the EEA, the UK or another region with similar rules, you can ask us to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Delete data, where the law allows
  • Restrict or object to certain processing
  • Receive a copy of data you provided (portability)
  • Withdraw consent where processing is based on consent

Send a request via our contact page or WhatsApp. We may need to verify your identity before we act. You also have the right to lodge a complaint with the Autoriteit Persoonsgegevens or another competent supervisory authority.

8. International transfers

Some processors may be located outside the European Economic Area. Where that happens, we use an appropriate safeguard, such as the European Commission’s Standard Contractual Clauses, or another lawful transfer mechanism.

9. Security

We take technical and organisational measures that fit the nature of a hosted broadcast platform: access control, encryption in transit, hashed passwords, logging and least-privilege access for staff and subprocessors. No online service is completely risk-free; please use a strong unique password and keep your workspace roles up to date.

10. Children

ON AIR TOOL is built for broadcast organisations, not for children. We do not knowingly collect personal data from children under 16. If you believe a child has provided data, please contact us so we can delete it.

11. Changes to this policy

We may update this policy when the product, the law or our processors change. The date at the top of this page is the latest version. Material changes will be announced on the website or in the app where that is reasonable.
